ATEX: How to Upgrade Your Paper-Based Workflow System

As the years go by, the need to rely on paper has subsided. The days of checking the yellow pages for an address, making out a cheque to process a payment, or writing to a business, are over. Advancements in technology mean we live in a world dominated by digital capabilities.

And despite the fact life on an ATEX-designated site is surrounded by physical structures and physical demands, you can still ditch paper for a digital alternative when it comes to your workflow system.

If you’re still using paper to document and monitor work tasks, then read on to find out how you can upgrade your workflow system with TRBOCALL to a solution that will transform how you keep people productive on-site.

Just the ticket

When it comes to ensuring workers are as productive as possible, you need to make sure they know exactly what work needs completing, and that you can monitor the progress of tasks in real-time.

But, if you’re relying on a paper workflow system to assign and manage tasks, then things will soon stack up – including the headaches associated with a paper-heavy work station.

With job ticketing software you can create, assign, and track job tickets through a radio network. Once set-up you can send real-time updates to an end user’s intrinsically safe radio and they can know when to start a new task, when it’s due to finish and when it’s been completed.

You also have the ability to do the following:

Accept or decline job tasks
Create an audit trail for reporting purposes
Generate reports to identify productivity and efficiency improvements
Have clear sight of which task is assigned to which radio user
Date stamped, so you know when a job was started and finished
Time stamped, so you know how long a job took to complete.

Print money, not paper

When considering the move from paper to paperless, you must consider several factors, including financial implications.

To show how much businesses can save by going paperless, it was estimated in 2018 that the financial services sector would cut costs by £1.3 billion if their customers opted for digital services over receiving paper bills and documents.
For chemical manufacturers, the purpose of paper may not be for the benefit of external parties, but given the vast production and people on-site, then any kind of cost saving will be beneficial.

It’s also estimated that each person in the UK uses the equivalent of 4.48 trees per year, with the average office worker using 10,000 sheets of paper each year – 6,800 of which go to waste. Again, it’s another set of statistics than can be reduced by businesses in the industry ditching paper-based workflow systems.

Automation is innovation

As mentioned above, the days of relying on paper are over. And when it comes to innovation in the workplace, automation is flavour of the month.

This is backed up by key statistics. A 2020 global survey, carried out by Mckinsey, found that 31% of businesses have fully automated at least one function, with 66% of businesses were piloting solutions to automate at least one work process – 57% up on the year previous.

It’s an indication that more and more decision makers are seeing the benefit of moving to some form of automation, not to remove their workforce, but to aid them to be more productive and efficient.

From a financial point of view, business process management was a £2 billion market in 2019, with aggressive growth expected. Something backed up by the statistics above.

For businesses still using a paper-based workflow system, short-term investment can mean long-term gain.

Solving the Productivity Puzzle

Strip things back to basics and the point of a workflow system is to ensure the right jobs are being carried out by the right people. In the chemical manufacturing industry, productivity is a key factor in businesses thriving in what is a pressured environment.

Since the financial crash in 2008, the UK has been trying to solve its own productivity rates across all sectors, and how they contribute to the economy. Known as the Productivity Puzzle, businesses are faced with the task of helping the green shoots of recovery flourish for well over a decade now.

It's important to highlight the chemical manufacturing industry’s role in the puzzle, especially as in some areas of the UK, chemical production is so lucrative that productivity levels stand out for all to see.

As the table below shows, the North West and the North East lead the way for ‘productivity contributed from wider chemical industry’ – with the North West 4.5 times and the North East 3 times more productive than the wider economy in these regions.

For those who flourish, it’s a case of continuing to keep output high. For those lagging behind, it’s a case of playing catch-up. In either scenario, a digital job ticketing solution can be just the ticket to add more solutions to a rather tricky puzzle.
